Meeting Space Rentals

Meeting room rental, or function space rental, is a charge applied for use of the space over a period of time. Some venues may decrease or even waive this rental depending upon amount of food and beverage spend, audiovisual services needed, or guestroom purchase guarantees. Your “set-up” and “tear-down” times (the amount of hours you need before and after your event to set and disassemble your space) can also affect charges on function space. If your event is more than one day, needing your room to stay set, or “24-hour hold” (not enabling your venue to sell that space to another event while yours is not active) is another factor that can affect meeting room rental charges.

Taxes and fees

Meeting room rental, food and beverage, audiovisual, and guestrooms all have taxes and fees that oftentimes apply. Meeting space rental is usually taxable and service charges oftentimes apply as they relate to employees setting the room in the specified arrangement. In a banquet event, menu pricing is generally referred to as “plus plus”; meaning the price is x amount per person, plus tax, plus service. The service charge on food and beverage is to pay for the individuals who will be serving your guests. Audiovisual charges are taxable and also have service fees that arise from audiovisual technicians setting and overseeing this component of your event (should you have audiovisual needs). If you are bringing your own audiovisual equipment, there may be a connection fee (this can sometimes be negotiated depending upon the venue). If planning a tradeshow, there can be charges for booths, especially when using table-top booths, as the venue will be providing tables and linens. Guestrooms are taxable and are sometimes subject to tourism assessments and other fees. There can be additional costs for added services ranging from Internet access to fitness center access. Some hotel venues may institute a “resort fee” which is a fee charged atop every guestroom purchased, whether the services offered under this fee are utilized or not. This may or may not be something that can be negotiated. Be sure to also be aware of any prices for parking, if self and valet is offered, or only one, and whether any discounts will apply for your group or event.

The above description of costs, taxes, charges and fees are a rough summary of some of the primary items encountered by event planners, but is in no way an exhaustive list. Some of the charges may not apply to your event depending upon your activities and location and there may be other charges that are not listed here. Every hotel and venue is different and pricing is unique to each location and event. Remember to ask each venue for their total price and have your contact outline all taxes, fees, and service charges so there are no surprises. This will also help you compare offers. Some venues may have quite a few “value adds” (such as free Internet, no exhibit fees, etc.) that could mean a substantial savings, or may be things that you won’t affect your event or bottom line. The best way to make an informed decision is transparency of event costs; and the best way to achieve that is to ask your contact at each venue to disclose everything upfront.

Direct contact with the catering manager

To start a dialogue about your event, check your account for incoming responses to your request. After receiving offers from hotels and venues, you will be able to select those that interest you and continue correspondence relating to your event. You will oftentimes be working with a Catering or Event Manager. This contact will help guide you through your event and the event specifics as they apply to their venue. Once a venue is selected, this is the person who will be your point of contact through the contracting and planning phase. This person will oftentimes also be present the day of your special event; at which time you will also be in contact with the “Banquet Manager” who is in charge of the service staff that will execute day-of logistics.

As much as I love hostels and other forms of cheap accommodation, there is something nice about the luxuriousness of a hotel: the clean room, comfy bed, desk, iron, strong shower, and bottled soap for the taking (errr I mean borrowing). They are quiet, relaxing, and a respite from the world.

But luxury comes at a price. Hotels certainly aren’t cheap, and I hate spending money on a room I am only going to be in for a few hours. After all, it’s just a place to sleep (and take soap). It’s why I mostly avoid hotels — I don’t think they are a good use of money. I would much rather stay in a hostel or Airbnb, which cost less, have more social interaction, and don’t make you feel as removed from the destination you’re staying at. I always feel hotels are so isolating like a concrete bubble keeping out the place you’re visiting.

But there are times when a hotel can’t be avoided. Hostels aren’t everywhere, booking a last minute hotel room is easier than finding an Airbnb host, and sometimes you just really need a nice bed and shower. Plus, I have a ton of points so free is worth the isolation.

A few years ago, I was traveling to conferences and other work-related events a lot and staying in a bunch of hotels. I decided to see which hotel booking sites came back with the cheapest results. I picked five cities to research (London, Los Angeles, Paris, NYC, and Seattle) and stays close to the date of my research and then far in advance, on both weekdays and weekends.

I searched six booking websites — Expedia, Hotels.com, Booking.com, Hotwire, Priceline, and TravelPony — in 2-, 3-, and 4-star categories.

The conclusion? Well, there wasn’t really a great conclusion.

The overall numbers showed that some sites were stronger in certain regions or for certain classes of hotel. TravelPony was the winner in the US and for higher-class hotels, and Expedia dominated London and Paris, while Priceline was great for 2-star hotels and Hotwire for 3-star hotels. The big loser? Booking.com.

That was in 2014, and booking websites and options have changed a lot since then. The only constant in travel is that nothing is constant — and a booking website is as only good as its inventory, which, as someone who now owns a hostel that’s not listed in every booking engine, I can tell you varies widely.

So I decided to do another search. This time I searched Expedia, Hotels.com, Booking.com, Agoda, and Priceline for prices in London, New York, Paris, Bangkok, Buenos Aires, and Berlin. I searched on July 3 rd for space later that week and then one month later during the weekday and weekend (prices and availability change on the weekend).

Well, the complete opposite of the previous results. Back in 2014, Booking.com was terrible, TravelPony showed promise, and Agoda was only good in Asia.

This time around the clear winner was Booking.com, followed by Agoda. Though it didn t return the largest number of total places, Booking.com returned the largest number of cheap places and that s the most important thing. I found the best deals and largest variety in all the destinations I searched for on Booking. For example, in my September search in Paris, it listed over 2,300 results, including 250 2 star listings and 750 star listings (and it told me the place was over 60% booked when I searched). Agoda still had the best results in Asia (it returned 2,900 results in Bangkok compared to 2,500 for Booking) but had definitely expanded their listings around the world it roughly tied Booking in Paris, Buenos Aires, and Sydney for overall listings, though they had fewer budget listings than Booking.

And all those other major booking websites? Well, Orbitz and Travelocity are part of Expedia and use the same database, and while they turned back a large number of results, they tilted more to the higher end of the price spectrum. And websites like Priceline and Hotwire have top-notch blind booking and bidding options that can get you a very cheap hotel (in the star category and area you want). Sometimes prices are up to 40% off. The downside? You don’t get to know the name of the hotel you’re staying in until after you have paid.

There are a lot of hotel websites and I’ve tried many over the last few years as I’ve started to book hotels more and more, but this test just proved what I already thought: for cheap accommodation, Booking.com and Agoda are just the best resources that have the largest selection of results. If you search these two companies, you ll always find the best hotel bargains in the 1, 2m or 3 star category.

Note: Years ago, I said to skip Trivago because I found it misleading: when you went to the other sites to compare results, the hotel classes and prices were different. I found the same thing this time. I clicked over to their cheapest deals, then did the search on the website they took me to only to find out that the place Trivago listed wasn’t even in the same class I wanted — and there were better options on the redirected website. In short, I would still skip Trivago.

How to book a cheap hotel

Besides using the right booking websites, there are some hacks you can use to score the cheapest room rate possible:

Contact the hotel websites directly – If you’re booking a big-name, global-brand hotel (think Starwood, Marriott, Hilton, etc.), book directly with that hotel. They often have the best deals on their website, but if you find a better deal elsewhere, they’ll match it. The big benefit to direct bookings at these global hotel chains is that you only earn loyalty points and status when you book directly, so if you love points, don’t book their rooms elsewhere.

Bargain – Want a better deal? Call up a hotel and ask for one. Sometimes they can give you better rates, especially if it’s during mid-week on some non-peak time of the year.

Use loyalty reward programs – The best way to stay for cheap is to stay for free. Collect points with the big chains by using their branded credit cards, shopping portals, and other travel hacking methods.

Use discount rates like AAA or AARP – If you are part of the AARP or AAA you can get special rates that are cheaper. Fun fact: Anyone can join the AARP. I’m a member. They have amazing travel benefits (including deals on hotels and British Airways flights). It’s well worth the membership.

Get discounted gift cards – You can book major hotel chains with hotel gift cards. Check out a website like Giftcardgranny.com for discounted gift cards and use it to book your hotel. (Gift card purchases also count toward point earnings and status.)

Buy someone else’s reservation with Roomer – Often people can’t go on a trip and can’t cancel the reservation, so rather than lose the money, hotels put these rooms on Roomer, where they sell it at a discount to earn some money back. I’ve never used this website, but I’ve heard decent things about it. It’s worth a try.

Hotel pricing is a lot more set than airline pricing and tends to fluctuate less. I wouldn’t spend hours searching hotel websites or days tracking prices like people do with airline prices. I’d spend, at the most, 30 minutes on booking a hotel. I found that the variation between sites isn’t enough to justify more time.

Just follow the steps above, get a great cheap room, and enjoy your trip.

Oxford Street has all the high street favourites, such as Top Man, H M and River Island, while Carnaby Street and Soho have more alternative brands and boutiques, such as Dr. Martens, Nudie Jeans, and the legendary The Great Frog (specialising in gorgeous rock star jewelry).

For a taste of the high life, head to Knightsbridge, where you’ll find upmarket stores such as Harvey Nichols and Harrods.

Bars, pubs and restaurants

Once you’ve found a hotel in London, you’ll want to unwind and grab a bite to eat. Chinatown next to Leicester Square, has a fantastic range of restaurants to choose from or head over to Gaby’s Deli on Charing Cross Road for some of the best falafel in London. Wash it down with a great range of ales at the Museum Tavern, opposite the British Museum, or try a pie at the Newman Arms in Fitzrovia.

HotelTonight (Android, iOS): The pioneer of same-day booking apps, HotelTonight features staff-vetted properties in more than a hundred cities around the world, with tags like Hip, Luxe, or Charming to guide your search. Expect trendy boutique hotels and even some splashy new openings—but don’t get too attached to any one spot. Deals change daily and can be reserved only from noon onward.

If last-minute hotel booking apps make you think of impetuous travelers on a budget, think again. The market for such apps and websites is becoming increasingly crowded, making it easier for those looking for upscale hotels to find 11th-hour discounts. During recent searches I found a room at the Four Seasons Hotel Miami for about $157 (compared with $259 on the hotel’s website), a room at the Westin Resort Spa, Cancún for $75 (as opposed to about $200), and, in Maine , a room at the White Barn Inn Spa in Kennebunkport , for $300, down from $630. Which sites will check you into the lap of luxury? I spent days with new apps and old standbys to determine the best tactics for nabbing a high-end hotel room at a (somewhat) down-to-earth price.

Let’s begin with some guidelines:

1. LOOK OUT FOR TAXES AND FEES. Many apps and sites do not display the entire nightly rate on their home page. For instance, to see the total cost of a room on the popular last-minute booking app Hotel Tonight, you must tap the name of your desired hotel (shown with the price of the room) and then, on a different screen, tap a “book now” bar to see that price with taxes and fees. On a recent Tuesday night, a room at the Viceroy Santa Monica Hotel in California was listed as $440 on the Los Angeles hotel search page, yet with taxes and fees it was $528.

2. CHECK THE DATES AND THE FINE PRINT. The current day is not necessarily the default setting on the apps and sites. This is the case with a new app called Stayful, which allows users to bid for boutique hotel rooms at the last minute or up to 30 days in advance. Also, check the length of stay. The app LMT Deals from Last Minute Travel has a default stay length of two nights; you must change it if you want more or only one. And always read the fine print. Your deal might be nonrefundable, or room type might be assigned to you by the hotel.

3. SHOP AROUND. Just because a site or app puts inventory online at a particular hour doesn’t necessarily mean that’s when you should pounce. There may be more appealing deals later on that app, or a different app or site. Time is money, so decide how long you want to comparison shop. Take a search I began on a Tuesday afternoon. It was for a room at the Gramercy Park Hotel in Manhattan , where guests have access to a coveted key to the area’s private park, locked since the 1840s. At 1:42 p.m. I opened Hotel Tonight on my iPhone. There were two deals for rooms that night at the Gramercy. The cheaper one was $549 with taxes and fees. That was $73.01 less than the lowest-priced room on the hotel’s website.

Next, I searched for the Gramercy Park Hotel on Priceline.com and found a room for $576.10 with taxes. The Hotel Tonight rate was cheaper than Priceline by more than $27. Would the Tonight rate continue to hold up?

Nope. On Hotels.com I found a room at the Gramercy for $541.08, taxes included — almost $8 less than the price on Hotel Tonight. In New York City economic terms, that’s practically a saving of a peanut butter shake and fries at Shake Shack. A new winner had emerged.

Later that afternoon, I decided to see if I could do a bit better on Expedia.

I did. At 3:30 p.m. Expedia.com was offering a room at the Gramercy for $540.31 — 77 cents less than the rate on Hotels.com. (You could make 77 wishes in a Bryant Park fountain with those savings.) Over all, that rate is nearly $82 less than the lowest price on the hotel’s website ($622.01). As it turned out, Travelocity had the same deal ($540.31), so both sites beat the competition.

Is saving $82 significant when you’re talking about a $500 room? Yes. And there’s a larger point: Shopping around can whittle down the cost of any class of hotel room.

Even though Expedia and Travelocity offered the lowest prices on a room at the Gramercy that particular day, no one site or app will always turn up the best deal. Let’s say you want a suite for a last-minute celebration such as a job promotion. Remember I mentioned that on Hotel Tonight there was another available room at the Gramercy? It was a “park view” suite with a king bed and a living room for $1,092.47 with taxes. On the hotel’s website, however, I found a special rate that lowered the cost of that suite to $820.52 with taxes — about $272 less than the Hotel Tonight price. In that instance, the hotel’s website had the better deal.

If you like to gamble, the new app and website Stayful will allow you to bid on a room. It recommends what that bid should be, though you can go lower, insultingly lower. A “bid success indicator” — a color-coded bar not unlike the Homeland Security Advisory System chart — ranges from green (meaning you are likely to have your bid accepted) to red (fat chance). On a Monday night at 8, I decided to bid the least amount possible for a room at the Standard, High Line, the luxury boutique hotel that straddles the elevated park in the meatpacking district. The indicator on the app was still in the green when I lowered the “recommended bid” — $716 for a room that would normally be $795 — to $610 using a sliding tab. When I further decreased my bid, to $384, I was in the orange danger zone. By $267 the indicator was the color of Rudolph’s nose but, hey, I know rooms there can be had for under $250. I slid the tab to the lowest possible number, $47 (for which there is no color) and clicked the “submit bid” button. “Yikes!,” said a pop-up message, “$47 per night has a slim chance of being accepted by the Standard High Line.” I could tap a big green bar that said “Change bid” or a teeny-tiny underlined sentence that said, “Continue with my original bid.” I pressed the tip of my finger to the little text. “Please wait while we are negotiating with the hotel,” said the app.

It was, alas, a swift negotiation. “Sorry,” a message said, “your bid was declined.”

I can’t say I was surprised. Perhaps the best way to incorporate this app is to research everywhere else first, then bid lower than the best price you’ve found.

By their nature, last-minute sites deliver uneven results, particularly when there’s a convention in town and rooms are at a premium. In general though, what’s available in the morning may disappear by lunch, while new options from brands such as Viceroy and InterContinental can appear at any moment. And don’t expect one site or app to be consistently superior. Sometimes they’re equal. On a recent Tuesday night I found the same price for a room at the Ritz-Carlton New York, Central Park ($745 before tax) on Hotels.com, Expedia.com, Priceline.com , the Ritz Carlton website and the app Booking.com Tonight.

GREAT for the cheapest option

I have no idea why this property gets so many negative reviews: my experience was entirely positive. 1. It’s the cheapest motel in the whole area. If you expect to be housed like royalty, stay at a respectively priced place like Hilton. But to us it didn’t feel like the cheapest option. It’s clean, cute and quiet. 2. The rooms don’t have AC, but you can ask for a fan. We didn’t, and we were okay with the windows open. 3. Checkout can be done by dropping the key off at the bin by the front desk. 4. The rooms are clean, and the facilities are well-kept. They are a bit on the older side, but are well-maintained and clean. Our bed was pretty comfortable to sleep on, and the sheets were clean and fresh. 5. This motel is located within a 15-20 minute walk from the Santa Monica pier, and there is a gas station right on the corner should you need to get snacks/coffee/smokes/etc. It is also on the bus route, which can get you real close to the beach. Or you can catch Uber/Lyft for about $4-5 to get you there. Thank you to the staff for making our stay the best it could be! And thank you for making Santa Monica more affordable!

We finished our USA road trip in Santa Monica. The Hotel Carmel is in the ideal spot for beach, shops and food. Foyer slightly more impressive than the rest of the slightly out-dated hotel, but the room was clean and large enough for the four of us, including two teenagers. Staff were really helpful and friendly. Complimentary coffee and pastries in the foyer each morning also a nice touch to keep you going long enough to find breakfast in the cafes a few doors away in either direction. Recommended.
